AI-powered CRM for modern sales teams

CRM, WhatsApp, AI and automation — one workspace for your whole sales process.

Capture leads from every channel, keep every conversation on the customer record, automate the follow-up, and move a deal from first enquiry through quote and invoice to payment — without leaving one system.

The problem

Leads get lost when your sales tools don't work together.

Most businesses do not lose deals to competitors. They lose track of them between a form, a phone and a spreadsheet — and only notice once the revenue is gone.

Leads

Enquiries arrive from forms, WhatsApp and ads — and land in four different places.

Follow-ups

The next action lives in someone's head, so there is no record when it is missed.

Communication

Calls, WhatsApp and email each hold part of the story. None holds all of it.

Sales pipeline

Nobody can say what is actually close without asking the whole team first.

One workspace

Leads, deals, conversations and activity on one customer record.

Not four tools that sync overnight. Opening a lead shows the enquiry, who owns it, every WhatsApp message and call, the deal it became and the invoice it produced — because they are the same record, not copies of it.

The complete sales process

From first enquiry to money received, on one record.

Most teams run this process across a CRM, a phone, an inbox and a spreadsheet, then spend the end of every week reconciling them. Here each step hands to the next inside one system.

  1. 01

    Lead arrives

    Lead management

A website form, a WhatsApp message, a Meta Lead Ad or an import. Everything lands in one queue and is deduplicated on arrival.

  2. 02

    The conversation starts

    Communication

WhatsApp, email and call recordings attach to the same customer record, so the history is complete without anyone maintaining it.

  3. 03

    Automation takes the next step

    Workflow automation

A rule assigns the owner, sends the message and schedules the follow-up — so the next action exists before anyone has to remember it.

  4. 04

    Ira reads the record

    Ira AI

Your AI assistant answers from this workspace's own data — summarising a call, surfacing what has gone quiet, drafting the reply.

  5. 05

    The deal moves

    Sales pipeline

Qualification, proposal, negotiation, won. Each stage carries its value, its age and the follow-up it is waiting on.

  6. 06

    Quote, invoice, payment

    Quotes & invoicing

The commercial trail attaches to the deal that produced it, so revenue sits on the same timeline as the conversation that won it.

WhatsApp CRM

Turn WhatsApp conversations into sales activity.

Most Indian sales conversations happen on WhatsApp, and most of them never reach the CRM — they sit on one salesperson's phone, invisible to everyone else and gone when they leave.

Connect your WhatsApp Business account and the conversation becomes part of the record: inbound messages create or match a lead, outbound messages send from the CRM, and delivery status comes back onto the timeline.

  • Official WhatsApp Cloud API — not an unofficial bridge
  • Inbound messages create or match a lead automatically
  • Send from the customer record, with delivery status returned
  • Workflows can send a template and set the follow-up together

Setup required. You connect your own WhatsApp Business account from Settings → Integrations. Until it is connected, the CRM shows WhatsApp as requiring setup rather than pretending it is live.

A customer messages you

The message arrives on your connected WhatsApp Business number.

It becomes a lead or matches a contact

A new number creates a lead; a known number attaches to the existing record.

The conversation lands on the record

Sent and received messages sit on the customer timeline beside calls, email and tasks.

Automation replies and schedules

A workflow can send a template message and create the follow-up in the same rule.

The deal moves

The conversation that won the work stays attached to the deal, the quote and the invoice.

Automation

Set the rule once. It runs on every lead after that.

No scripting and no consultant. A trigger, a few actions, and the work that used to depend on someone remembering now simply happens.

    New lead

    Website form

  2. 02

Ira AI

An assistant that has actually read your CRM.

Not a chatbot bolted to the side. Ira answers from your own records — and turns the answer into a CRM action rather than a paragraph you have to act on yourself.

  1. Lead arrives

Priya Nair, from a website form. Deduplicated and assigned on arrival.

  2. Ira reads the record

The enquiry, the call transcript, the quote that was sent and the follow-up that was missed.

  3. Ira suggests the next action

“Three leads from this campaign are past their follow-up date. Priya is the largest.”

  4. The salesperson acts

Follow-up scheduled from the answer, written back onto the record.

Representative example. Ira answers only from your workspace, and every action it takes is permission-checked.

Call intelligence

Your CRM shouldn't forget what happened on the call.

A sales call holds the detail that decides the deal, and it normally survives as a memory. Upload the recording and the platform turns it into transcript, summary and follow-ups on the customer record.

  1. Upload the recording

From the deal, the lead or the contact it belongs to.

  2. Transcription

The call becomes searchable text attached to the record.

  3. AI analysis

A summary, the key points, objections raised and the follow-ups the call implies.

  4. Call Flagging AI

The same transcript is checked against the phrases you define — a discount promised, a competitor named, a commitment made.

  5. Actions on the record

The follow-ups land as tasks, next to the call that produced them.

Sales pipeline

Every deal, every stage — and what happens after you win.

Stages carry the value, the age and the follow-up a deal is waiting on. When it closes, the quote, invoice and payment attach to the same record rather than starting again in another system.

  1. STAGE 1

    Qualification

    Value, age and next follow-up

  2. STAGE 2

    Proposal

    Value, age and next follow-up

  3. STAGE 3

    Negotiation

    Value, age and next follow-up

  4. STAGE 4

    Won

Closed — the commercial trail begins

Quote

Line items, taxes and totals, sent from the deal it belongs to.

Invoice

Raised against the same deal, so nothing is re-keyed.

Payment

Recorded and allocated, closing the loop on the customer record.

Also included

The rest of what a working CRM needs.

Named individually because a buyer checking for one specific requirement should be able to find it, rather than take a claim about completeness on trust.

Questions

The things worth knowing before a demo.

Including the answers that are inconvenient for us. You will find out either way — better here than in week three.

What is InstaAI365?

InstaAI365 is a CRM for businesses of any size and any industry. It captures leads from your website and other channels, assigns them, tracks deals through a pipeline you define, handles quotes, invoices and payments, and keeps every email, WhatsApp message and call on one timeline. Ira AI answers questions from your own CRM data, and Call Flagging AI checks call transcripts for phrases you configure.

Is this CRM built for a particular industry?

No. It is a general-purpose CRM. Leads, contacts, companies, deals, stages, quotes, invoices and reports are the same building blocks any business needs, and you configure the stages and fields to match how you actually sell. There is no industry edition and no industry lock-in.

How is the AI different from a chatbot?

Ira reads the records in your workspace — your leads, deals, activities and contacts — and answers from them, inside the same permissions as the person asking. So a question like 'which deals have gone quiet this month' returns your deals, and you can open every record it cites. It also drafts follow-ups, but a person approves before anything is sent.

What exactly does Call Flagging AI do?

You define the words and phrases that matter to your business and how serious each one is. Where a call transcript is available, InstaAI365 checks it against those rules and alerts the manager you nominate, naming the employee, the call and the phrase that matched. It reviews transcripts and raises alerts — it does not intercept live calls and it does not take action on its own.

Can I use WhatsApp with it?

Yes, through the WhatsApp Cloud API. It is built and working, but it is not a switch we flip for you: you need your own Meta WhatsApp Business account and credentials, which you connect in Settings. We do not resell WhatsApp messaging and we do not currently support AiSensy, WATI, Interakt or Gupshup.

Does it make phone calls?

No. Outbound calling is not enabled in the product today. You can log calls and their outcomes against a record, and Call Flagging AI works on call transcripts where one is available, but InstaAI365 does not dial for you.

Bring your entire sales process into one workspace.

Leads, WhatsApp, follow-ups, AI, pipeline, quotes and invoices — set up once and running on your own data this week.
